Certificate processing errors

I have added the applicable learner(s) to the claim file and some lines are appearing in a pink colour?

This means that there is an error with that line. To investigate and correct the error, for that specific line select the error icon (located in-between the orange/black arrow icon and the red X).

You will now be presented with the message, detailing which field the error relates to and what the error is. Once you have noted the details, close the error message.

For the specific line, select the orange/black arrow icon to the left of the error icon.

Correct or enter the required information as detailed within the error message and then select 'Save & Close'.

The specific line should now be displayed in a green colour. 

Repeat the above for all lines appearing in a pink colour and then select 'Submit to VTCT' to perform full validation of the file.

A common error is “Invalid certificate request: This learner has not completed the correct combination of units to complete this qualification”. This means that the Rules of Combination (RoC) for the qualification have not been met. 

You can check a qualification’s RoC as follows:

Once the RoC has been checked and it is clear which unit(s) have been omitted/included, it is often easier to delete the claim file and start again, ensuring the correct combination of units are selected.

I have submitted my claim file and the file status has changed from ‘Awaiting Validation’ to 'Editing'?

This means that there is an error with the file. To investigate and correct the error, select the orange/black arrow icon to the left of the file name.

Lines with errors will be displayed in a pink colour. To assist and filter out any valid lines, check the 'Hide Valid' box.

For any lines displayed in a pink colour, select the error icon (located in-between the orange/black arrow icon and the red X).

You will now be presented with the message, detailing which field the error relates to and what the error is. Once you have noted the details, close the error message.

For the specific line, select the orange/black arrow icon to the left of the error icon.

Correct or enter the required information as detailed within the error message and then select 'Save & Close'.
